The committee's everyday money
Record expenses with receipts, charge a flat, fix a mistake and read the statement.
Payments, expenses, charges, fixing mistakes and the monthly statement.
Record money in and out
- A flat paid you in person Tap Record a payment, choose the flat, the amount, the currency and how it was paid. For a flat whose family is not on the app, it counts straight away. For a family on the app, they are asked to confirm it (see the next chapter).
- An expense Tap Record an expense. Pick the category, enter the amount and a short description, and take a photo of the receipt with your phone. If your settings require a receipt, the app will not save without one.
- Everyone can check it The expense is saved with its receipt. Every family can open the ledger and tap View receipt: this is what builds trust in the committee.
- Charge one flat For something only one flat owes (its share of a new door lock, a repair it caused), tap Add a charge to a flat, choose the flat, the amount and a clear description. It is added to what that flat owes.
Fix a mistake
- Nothing is deleted: it is reversed Entered something twice or with the wrong amount? Open the entry and tap Reverse. Choose the reason (1), for example Entered twice, add a note, and tap Reverse (2). Then record it again correctly if needed.
- The reversal stays visible A Reversal entry cancels the original. Both stay in the ledger with the reason, and the original appears crossed out. Nobody can make money disappear without a trace, not even the president.
- The ledger Open Ledger to see every entry, newest first. Use the tabs to show only payments, expenses, charges or reversals. Tap any entry for its details.
When the committee records a family's payment
- The family is asked When the committee records a payment for a flat whose family is on the app (for example cash handed to Georges in the stairwell), the family sees it under Please confirm.
- Yes, I paid this If it is right, the family taps (1) Yes, I paid this. If not, (2) This is not right.
- Say what is wrong Write what is wrong in a few words and tap This is not right. The committee is told, and the payment is marked Disputed until it is sorted out. Every payment is agreed by both sides this way.
- Families see the same ledger Every family in the building can open the ledger: the same entries the committee sees, with receipts.
Keep track
- Who owes what Flats lists each flat with what it still owes, in red. Here flats 2B and 3B have not paid September yet.
- One flat's page A flat's page shows what it was charged and paid, and who lives there: the family on the app (and whether they pay the dues) and the owner, even one living abroad.
- The monthly statement Open Monthly statement for the balance before, money collected, money spent and the balance after, with every entry. Pick another month at the top. Tap Print or save as PDF to post it in the lobby or send it on WhatsApp.
