Setting up your building
Create the building, add its flats, set the monthly dues and invite the families.
For the committee president. About 15 minutes, once.
Create the building
- Open the Building tab Tap Building at the bottom of the screen. Until you are in a building, it offers two choices. As the president, tap Set up my building. (Families tap Join with a code instead: see Part 2.)
- Name it and list the flats Type the building name and its area. In Flats, type every flat name separated by commas, for example GF, 1A, 1B, 2A, 2B, 3A, 3B. You can add or rename flats later. Tap Save.
- Your building's front page This is the page you will use every day. At the top: how much is in the fund, how much was collected and spent, and what flats still owe. Below: the buttons to record money, and links to every section. You are the committee president of this building, with every right.
Set the building's rules
- How much each flat pays Open Settings from the building page. Choose how dues are calculated: the same for every flat, per square metre, a base amount plus extra per floor, or by shares. Enter the dues amount, the currency and the day of the month they are due. Here Cedar Tower charges $50 a flat on the 5th.
- Lateness, cash and receipts Decide whether dues are created automatically on the 1st of every month and whether expenses must have a receipt photo. Without automatic dues, you create them yourself each month with one tap (see Part 3). After the grace days, the flat and the committee get a reminder, and the committee can add the late fee with one tap (never by itself). A payment not confirmed within the days to confirm sends one reminder to whoever must confirm it.
- Choose the features Turn on what your building uses: the committee ledger (money), announcements (notices) and votes. Tap Save when done.
- The building's plan Further down, The building's plan. A new building starts on the Building plan ($30 per flat a year, or $3 per flat a month): the ledger, notices and votes. The card says what it costs for your flats (here 7 flats: $210 a year, or $21 a month) and, for a founding building like Cedar Tower, until when it is free and the price after. Building Plus ($45 per flat a year) also gives every family linked to a flat the Home plan. On Free, the ledger, notices and votes are locked (“This comes with a building plan”); nothing recorded is lost. While Bayte is being tested, plans come with the invitation; nothing is charged in the app.
- Your own dollar rate and expense types If the building agrees on its own exchange rate, enter it here; otherwise the app's rate is used. At the bottom are the expense categories (diesel, elevator, cleaning, natour salary…). Add your own, like Garden, and tap +.
Describe each flat
- The list of flats Open Flats. Each flat shows what it owes and whether a family is on the app. Tap Add a flat for one you forgot, or tap a flat to see it.
- Floor, size, shares and name On a flat, tap Edit. Fill in the floor, the area in m² and the shares if your dues depend on them. For a family that will never use the app (an elderly neighbour, the natour), type their name in Name (if not on the app): you can still record their payments.
Invite each family
- Open the flat and choose who to invite Open the flat. Under Who lives here nobody is linked yet. Tap (1) Invite the owner if the owner lives there, or (2) Invite the tenant if it is rented. A flat can have both: the owner (for owners-only votes) and the tenant (who pays the monthly dues).
- Send the code The app makes a code for that flat. Tap Copy and send it by WhatsApp to the family. Each code works once, for that flat only. A new tenant always starts with a clean balance: what the previous family owed stays with them.
